Transforming a Legacy Platform: How I Helped Redefine CareAcademy’s User Experience
Contents

When I joined CareAcademy, I encountered a platform with tremendous potential but significant challenges that were holding it back. Like many legacy applications, it bore the marks of evolving priorities and different hands over time: no consistent mobile optimization, mismatched fonts, varied button styles, and a lack of cohesive brand identity. The navigation was confusing, menus were scattered, and crucial features—like an upgrade page or self-guided onboarding—were either buried or missing entirely. Most critically, we were losing money. Users with overdue accounts could still access services, and our customer service team was constantly fielding questions caused by an unintuitive experience. Despite these hurdles, I saw an opportunity to create something transformative.

The Challenges: A Frankenstein of Features

The platform’s fragmented design was no one’s direct fault—- it was simply the result of years of rapid iterations without a unifying vision. This is common in growing companies. However, for our customers, it meant extra frustration. For the customer service team, it meant extra work. For the business, it meant lost revenue.

The Solution: A Cohesive Design System

To address these challenges, I built and implemented a design system from the ground up. Every component we created came with built-in mobile optimization and consistent styling, powered by Tailwind CSS. This ensured not just visual consistency but also developer efficiency.

  • Consistent Design, Optimized for All Devices Every button, font, and asset now aligns with our brand identity. Components are reusable and fully responsive, ensuring a seamless experience on desktop and mobile. drag embedded assetpublishedReusable Design System
  • Simplified Navigation We introduced a left-handed navigation bar that provides a clear, contextual experience on desktop and mobile. drag embedded assetpublishedAfterdrag embedded assetpublishedCollapsible Navigation
  • Recovered Revenue with Payment Reminders A simple addition-- a payment reminder bar that locks features until overdue accounts are resolved -- helped us recover $115,000 in revenue in under six months.
  • Content access We added a mobile-optimized video library and a content catalog that users can access without contacting sales. drag embedded assetpublishedCourse Catalogdrag embedded assetpublishedVideo Library
  • Improved onboarding *coming soon* We added a self-guided onboarding flow, coming January 2025. This update, plus the content access upgrade, not only improved the user experience, but also freed up our sales team to focus on grow drag embedded assetpublishedSelf-guided onboarding wizard

The Results: A platform reimagined

Today, CareAcademy's platform is a unified, modern application that delights users and reduces friction for both customers and internal teams. We've seen a dramatic reduction in customer service tickets related to navigation issues and account confusion. Revenue recovery speaks for itself, and the platform. is now positioned for sustainable growth.

What others say about my work

My work at CareAcademy didn't just transform the platform-- it had a positive impact on the team as well. Here's what two of my colleagues had to say about working with me:

“Nicola possesses the rare ability to bridge design and development seamlessly. She is always present and engaged, actively participating in conversations, sharing thoughtful opinions, and offering guidance. Her contributions elevated our projects and our team. I cannot recommend her highly enough—any team would be lucky to have her!” -- Ahmed Omran, Former Manager
“Nicola developed a suite of Vue.js components tailored for back-end engineers, allowing those unfamiliar with Vue or CSS to seamlessly implement front-end features. She was also a primary contributor to our free trial registration and upgrade e-commerce flow, an important strategic initiative for the company. Her proactive approach and commitment to excellence make her an asset in any professional setting.” – Ferris Lucas, Senior Software Engineer

What this experience taught me

This journey reinforced for me that front-end development is about so much more than writing code. It's about identifying problems, empathizing with users, and delivering solutions that drive real business results. It's about building systems that make life easier for both users and developers. And, most of all, it's about creating experiences that scale.
